Position Responsibilities:

  • Provide desktop publishing support for RFP/Q responses and interviews
  • Maintain updated marketing collateral such as resumes, photography and project pages
  • Coordinate target mailings to prospects
  • Coordinate trade shows and conference materials (including exhibit booths and promotional material)
  • Provide backup for other marketing staff on project deadlines
  • Provide research and social media tasks as directed
  • Perform administrative duties relative to position, including binding, copying, data entry and filing

Position Responsibilities:

  • Prepare and modify architectural documents, elevations, sections, details, etc. as directed by others utilizing REVIT.
  • Develop solutions to technical and design problems following established standards.

Candidate Qualifications:

  • Previous internships within the A/E/C field preferred.
  • Possess basic hand and REVIT/BIM drafting skills.
  • Proficiency in MS Office, including Word, Excel and Outlook.
  • Basic knowledge in Revit is preferred.
  • Proficiency in Photoshop, Illustrator, Sketchup, and InDesign graphic software preferred.

  • Coordination with project managers for job cost

  • Supervision and aid in completing work as required:
  • Assistance with preconstruction/bidding efforts.

  • Generation and maintenance of project logs (drawing, submittal, M/WBE, etc).
  • Project files and filing.
  • Stamp, log and distribute mail.
  • Scan documents and coordinate print requests.
  • Subcontractor and supplier compliance management (W-9, insurance, contracts, waivers, change orders, certified payrolls, etc.).
  • Warranty / Closeout request letters and tracking.
  • Owner closeout book copies and assembly.
  • New hire coordination and assistance.
  • Assistance with jobsite office set-up.
  • Issuance of subcontracts, purchase orders and change orders.
  • AIA document preparation and issuance.
  • Manage day-to-day operations of the group.
  • Implement and support processes and policies keeping with group and organization goals.
  • Work with the IT department for software and hardware needs.
  • Serve as administrator for the construction management and accounting software (Sage 300).
  • Archive closed projects.
  • Project set-up.
  • Project closeout.

Candidate Qualifications:

  • Minimum of 7 years’ experience in construction accounting.
  • Experience in Sage 300/Timberline.
  • Experience in project set-up, pay applications, accounts payable, accounts receivable, union payroll, and project closeout.
  • Be a positive, forward thinking, team oriented individual with a customer service mindset.
  • Ability to be flexible with day-to-day activities working for a small group within a larger organization.
